After-Hours Calls for Parking Operators: A Workflow Guide

A driver calling after hours may need directions, parking availability, or help getting into a facility. Each request needs different information. Start by confirming the location, then give the agent clear instructions for answering the question or reaching your team.

Clarify the facility before giving instructions

A driver might describe an exit or a nearby landmark instead of using the facility's name. Include those details in your location information and have the agent ask a follow-up question when the description could fit more than one place. Confirm the facility before giving directions or access instructions.

Save the confirmed location with the caller's contact details. Addresses and general instructions can come from your business information. For current availability, the agent needs a connected data source or someone who can check it.

Decide how to handle access problems

Write down the actions the agent is allowed to take and the access problems that need a person. Some actions may depend on a connected system. Make sure the agent knows whom to contact and what to do when that person doesn't answer.

  • Location question: identify the facility and provide approved details.
  • Availability question: use supported current data or explain who will confirm.
  • Access issue: capture the problem and use the approved escalation path.
  • Unresolved request: create an actionable follow-up with the source conversation.

Try the calls your night team receives

Try a call about the wrong facility and one with an unclear location. Ask for a person who isn't available. Have your operations team review what the agent said and the request it saved for follow-up.

If the agent checks another system, test what happens when that system is unavailable or its information is out of date. Listen to the explanation the caller receives and check how the request reaches your team for confirmation.

Review the requests that remain open

Review the requests the agent couldn't finish. Check who's handling them and whether the driver has been contacted. NexTalker keeps calls, customer records, and follow-up work together for that review. In its customer spotlight, TRUX Parking describes extending coverage beyond a 9-to-5 call center. A pilot at your facilities will help you see which calls your own setup can handle.
