AI Agent vs. Answering Service: How to Choose

Before you choose an AI agent or an answering service, make a list of the sales, support, and operational calls your team handles each week. What do customers need done? Which requests need a person? Those answers will tell you more about the right fit than a polished demo.

Start with the job you need done

Pull together your ten most common call types. Questions about hours or directions usually need a clear answer. A new sales inquiry needs contact details and follow-up. A complaint or unusual request may need someone who can make a decision.

Some products use the term AI receptionist for call answering. A broader AI agent can use configured business tools and support sales, customer service, and operations. A human answering service has people handle calls according to your agreement. Ask each provider what work it can handle, what it will pass to your team, and how that handoff works.

Give each provider the same test calls

Give each provider the same business information, then try the same calls. Ask a routine question. Change your mind halfway through. Leave out an important detail. Ask to speak with a person. Listen to the answers and check what your team receives afterward.

  • Did the caller get an accurate answer or an honest explanation of what needs checking?
  • Were contact details and the reason for calling captured correctly?
  • Could the caller reach a person when the situation required it?
  • What happened when the transfer destination did not answer?
  • Did the next action reach someone who could complete it?

Compare the work after the call

A low-cost message can still create extra work if someone must copy it into a CRM, find the customer, and assign a task. Include that work in your evaluation. Ask what customer history, recordings or transcripts, and integration behavior your team receives.
