From Call Summary to Completed Customer Follow-Up

You finish a call, save the notes, and move on to the next one. A few days later, the customer asks about the information you promised to send. A clear task, attached to the customer and assigned to a person, helps your team keep track of that promise.

Pull out the promises that need follow-up

Look for something your team agreed to do: send property details, check availability, return a call, or ask a manager about an exception. Capture the action and any information the person doing it will need.

For example, suppose a caller asks about parking near a facility and you agree to call back after checking availability. The task needs both parts: check the options and contact the caller. Keeping them together makes it easier to see whether the request is finished.

Write a task someone can pick up

Attach the task to the customer record and the call that created it. Write down what needs doing, assign it to a person, and add a due time if you made a time-sensitive promise. A teammate who wasn't on the call should be able to understand the task without asking you to explain it.

  • Customer or account, with the relevant deal if one exists.
  • The action to perform and any information that must be checked.
  • The responsible person and the next review point.
  • A source conversation and the evidence needed to mark it complete.

Automate the repeatable step

Trigger the sequence twice and reply to a test message. Check that it doesn't create duplicate tasks or keep sending messages after the request is finished.

Check that the promise was kept

Your team can review the supporting conversation; automatic completion is also available for qualifying evidence when enabled in your setup.

Review those suggestions with your team before relying on them. If a later message says the customer received the information, check that it matches the task you're closing. Keep track of completed follow-up so you can spot promises that are still waiting.
