Leasing Calls After Hours: From Inquiry to Showing
Prospects shop for apartments after work and on weekends, which is exactly when leasing offices are closed. The first property to answer, and offer a showing time, often gets the visit. A short plan for after-hours leasing calls keeps those prospects from moving on to the next listing.

Answer with approved vacancy details
Keep a current, approved list of what can be said about each vacancy: rent, deposit, availability date, bedrooms, pet and parking policies, and application steps. Your AI receptionist answers from that list and nothing else. When a question is not covered, it says who will follow up and when.
Update the list whenever a unit is leased. An answer about a unit that is no longer available costs more trust than no answer at all.
Capture what your leasing team needs
A good inquiry record saves your leasing agent a call. Ask for the same details every time.
- Which property or listing they saw, and where they saw it.
- Move-in date, bedrooms and budget.
- Pets, vehicles and anyone else who will live there.
- Their preferred way to be contacted.
Offer a showing time on the call
The best next step is a booked showing. Share a booking page that only offers times your team is actually free, and let the prospect pick one while they are still interested. In nexTalker, the showing lands on the prospect's record with the details they gave.
Follow up before they sign somewhere else
Send a reminder before the showing and a short message after it. If the prospect did not book, a follow-up the next morning from a person is often enough. A Journey can send the reminders and create tasks for your leasing team, and stop when the prospect replies.
Stay within fair housing rules
Give every prospect the same information and the same next steps. Keep answers to the property and its policies, not to who the caller is. Review your approved answers with whoever handles compliance for your business before you launch.
Measure what happens after the call
Track after-hours inquiries, how many booked a showing, how many showed up, and how many applied. If calls are answered but showings are not booked, the gap is in the offer, not the answering.
