Handling Resident Lockout Calls After Hours

A resident locked out at night is stressed, often cold, and calling you because they have nobody else to call. Lockouts are also an access decision: letting the wrong person into a unit is far worse than a slow response. A written policy lets whoever answers be quick and careful at the same time.

Decide what you offer, and put it in the lease

Some managers send a technician at any hour, some only during business hours, and some refer residents to a locksmith. Whatever you choose, write down the hours, the fee, and any exceptions, and make sure residents can find it before they need it.

Verify identity before anyone opens a door

Decide how a resident proves who they are: the name on the lease, the phone number on file, and photo ID checked in person before the door is opened. Whoever answers the phone, a person or an AI receptionist, should never share door codes or key locations over the phone, and should not promise entry until your on-call person confirms.

Capture the details for the on-call person

The on-call person needs the same information every time, so they can decide quickly.

  • Property, unit and the resident's name, confirmed back.
  • Where the resident is now, and whether they are safe.
  • Whether a child, pet or medical need is inside the unit.
  • A callback number that works right now.

Escalate the urgent cases

A child or someone needing medication locked inside, or a resident in an unsafe place, is an emergency. Your policy should send those calls to emergency services when needed and transfer them live to the on-call person. In nexTalker, an AI receptionist can follow that rule and transfer the call, and it drafts a callback task from the conversation when nobody answers.

Close the loop the next day

Record what happened: who responded, when the resident got in, and any fee charged. Review lockout calls monthly. Repeat lockouts at one property may point to a lock or key problem worth fixing.
