How to Set Up After-Hours AI Answering
Picture a customer calling twenty minutes after your office closes. What can you answer right away, and what needs to wait until morning? Build your after-hours setup around those calls, including who will follow up when your team returns.

Decide which calls the agent should handle
Choose the call types the agent should handle. For example, a parking operator may need location questions answered and access problems routed. A real estate team may need property details and a seller’s contact information captured. Write down what the agent should collect and when a teammate must take over.
Make a list of answers that depend on current data, such as availability. If the agent can't check that data, have it explain who will confirm the answer and collect the details they need. Give it clear instructions about what your team can promise outside office hours.
Prepare the information and schedule
Gather your hours, addresses, phone numbers for transfers, and answers to common questions. Choose someone to keep them up to date. Check weekends, holidays, time zones, and temporary closures against the schedule in your phone system.
- Document the normal business schedule and the after-hours schedule.
- List routine answers and the information needed to qualify a request.
- Define urgent cases and an escalation destination that can respond.
- Decide who owns routine callbacks the next business day.
Route a limited set of calls first
Ask your phone provider about scheduled or conditional forwarding. Start with one set of calls, such as calls after closing, and write down how to restore the previous settings. Make one routing change at a time so you can tell which setting caused a problem.
Test the full path to the morning team
Call after closing with a routine question, a request that's missing details, and a request to speak with a person. Also test what happens when the person receiving a transfer doesn't answer. The next morning, have your team find those requests and use the captured information to respond.
