Truck Parking No-Shows and Overstays: Follow-Up Plan
No-shows leave paid spaces empty while other drivers are turned away. Overstays fill spaces that were promised to someone else. Neither problem is solved by a strongly worded sign. What helps is a clear policy, a reminder at the right moment, an easy way to extend, and a person for the cases that turn into disputes.

Write the policy before you automate it
Decide the grace period for late arrivals, when a reservation counts as a no-show, what an overstay costs, and how extensions work. Put it in writing. Your AI receptionist should state that policy as written and never invent exceptions; exceptions are for your team.
Reach the driver before it becomes a problem
A reminder before arrival and another as a stay ends prevent many problems. If your booking system is integrated with nexTalker, a Journey can text those reminders automatically and include the link to extend. We review integrations case by case during setup. Keep the texts short and useful: the facility, the time, and what to do next.
Make extensions easy
Many overstays are drivers who meant to extend and did not know how. When a driver calls, your AI receptionist can confirm the facility and share the link to extend; where your booking system is connected, it can also look up the reservation. Charging, refunds and fee waivers stay in your booking system and with your team.
Leave disputes and charges to a person
Billing disputes, towing questions and requests for exceptions need judgment. The agent's job is to capture the details, explain what happens next and create a follow-up for the right person, with the call and the reservation details attached.
Keep the history on the customer record
When calls, texts and reservation questions live on one customer record, patterns show up: the driver who overstays every week, or the fleet whose drivers keep arriving after the grace period. That history makes the next conversation fairer and faster.
Check the numbers every month
Track no-shows, overstays, extensions and disputes by facility. If one location has far more overstays than the others, look at its signs, its reminders and its extension process before you change the policy.
